EVV: An Essential Component of Home Care Solutions

EVV has penetrated its way into the personal care services market, and if you provide any Medicaid-funded services, you’ve likely known about this for some time.

What is EVV?

EVV stands for Electronic Visit Verification. It’s the primary way for government payer sources (and others, of course) to properly mitigate fraud and waste while ensuring that clients are receiving services from a caregiver at the right time. 

EVV information is captured through the geolocation of caregivers, generally through an app or phone clock-in, clock-out. It can also include manual data entry for visit notes. 

To make this process go smoothly, make sure you pick the right EVV provider for your home care agency’s needs. 

What should you look for in an EVV provider?

The biggest point you should be looking out for is if it makes your life easier. That can look different depending on your state’s needs, but finding a provider that can do it “all” on top of EVV is the best option to find. 

If you have an EVV vendor that solely offers EVV, that means you have to find an agency management program with the proper APIs and connections to your EVV and other places the data needs to be sent to. 

Here’s a quick checklist that can help you find the right one:

  • It shares clock-in and clock-out time stamps 
  • It shares caregiver location via GPS in real time
  • It transmits manually entered visit notes and tasks completed
  • It connects to the places where you submit claims

One of our customers was looking for a change because of his large VA business and EVV. Their software didn’t communicate information properly to the data clearinghouses. As a consequence, his claims would get rejected by Triwest and Optum because of the failed connection. 

What are some of the warning signs that you should look at a different EVV provider?

These can vary between agencies, however, if your agency is experiencing any of the following, you might want to look at switching platforms. 

  1. Failing to maintain compliance. 
  2. Missing data
  3. Incorrect data
  4. Failed claims submissions due to incorrect EVV data 

When you’re filing a Medicaid claim all of the data has to be there and accurate. Even if half of your claim is accurate and the other half isn’t, it’s not sufficient enough for a claim to be approved.
